MichiEdu Tutor Privacy Notice

1. Who we are

2. Information we collect about you

When you apply

  • · Name, date of birth, and contact details
  • · Country where you will be located while tutoring
  • · Your immigration status category in that country
  • · Academic credentials, including IB results and university details
  • · Evidence supporting those credentials
  • · Your teaching experience and teaching philosophy
  • · Your availability and the languages you teach in

We do not collect passports, visas, residence cards, or other immigration documents.

During your interview

  • · A video recording of the interview
  • · Notes taken by the interviewers

While you work with us

  • · Session records, summaries, and transcripts
  • · Messages sent through the platform
  • · Quality metrics, including rebooking rate, completion rate, response time, and review scores
  • · Payment records and bank or payment provider details

3. Why we use this information

4. Your public profile

Your profile is visible to the public. It shows:

  • · Your first name
  • · Your IB score
  • · Your university
  • · Subjects and levels you teach
  • · Your country
  • · Years of experience
  • · Your teaching philosophy

It does not show your surname, contact details, exact location, a photograph that could identify you elsewhere, your immigration status, or how much you are paid.

We ask for your separate consent to public display.

5. Interview recordings

Your interview is recorded. At least two members of the MichiEdu team review it so that we assess candidates consistently.

We keep interview recordings for 12 months after we make a decision, whether or not your application succeeds.

Only named reviewers can access recordings. They are stored in MichiEdu’s business systems, never on personal accounts or devices.

You can ask us to delete your interview recording at any time after we have made a decision.

6. Who we share your information with

Families

Families see the profile fields listed in section 4. They do not see your contact details, your address, or your pay.

Service providers

We use other companies to operate the service. They process information on our behalf and under our instructions, covering hosting, payments, email, video sessions, and transcription. We keep a register of these providers and supervise them as the Act on the Protection of Personal Information (個人情報保護法) requires.

Tax authorities

We report payments to you where Japanese tax law requires it.

7. Information sent outside Japan

If you are located outside Japan, your information is held and processed outside Japan. Some of our service providers store information outside Japan regardless of where you are located.

8. How long we keep information

9. Your rights

You may:

  • · Withdraw a consent you previously gave

Withdrawing consent to public display means we cannot match you with students, because families choose a tutor from their profile.

10. Changes to this notice

If we change this notice materially, we will tell you before the change takes effect and, where the law requires it, ask for your consent again.
